Privacy Policy

This policy explains what personal data TechEmbassy collects through the TechEmbassy mobile and web app, the techembassy.org website, and the internal systems we use to run our events — and what we do with it.
TechEmbassy is the controller of the personal data described below. You can reach us at info@techembassy.org.
01What the app collects
Account and sign-in. We sign you in with your e-mail address and a one-time code sent to it. We do not use passwords, and we never see or store one. A session token is kept on your device so you are not asked to sign in again on every launch.
Your profile. What you choose to enter or import:
- first and last name
- profile photo
- job title or role, and company
- LinkedIn profile link
- company country and, for startups, founding date, description, area of interest and one-line pitch
Event participation. Which of our events you are registered for or attend, your role at the event (guest, startup, investor, mentor, partner), and — where an event includes it — your votes and the applications or pitches you submit.
Messages. Chats you exchange with other participants inside the app, including any images you attach. Message content is stored so the conversation is there when you come back to it.
Push notifications. If you allow them, we register a push token for your device together with a device identifier and device name, so we can deliver notifications and stop delivering them when you sign out.
Camera and photo library. Only when you use them — to take or choose a profile picture, or to send an image in a chat. We do not access them in the background, and the app never opens them without you asking it to.
Technical data. Standard server records of requests to our services (IP address, timestamp, error diagnostics), kept for security and to fix faults.
02What the app does not collect
- No location. The app does not request or use your device location.
- No advertising identifiers, no tracking across other apps or websites, no ad networks.
- No contacts, calendar, microphone or health data.
- No third-party analytics inside the app.
03What the website collects
techembassy.org uses Google Analytics 4 to understand how the site is used — pages viewed, approximate region, device type. This is set with cookies and can be refused in your browser. The public site does not require an account.
04Data we hold about business contacts
Alongside the app, we keep a customer-relationship system used by our own team to organise events and partnerships. It holds business contact details — name, work e-mail, job title, company, LinkedIn profile — of people we are in touch with as event guests, speakers, sponsors, partners or prospective partners, together with notes our team writes about that relationship.
We rely on our legitimate interest in organising events and maintaining business relationships for this processing. You may object at any time, and we will stop unless we have compelling grounds not to.

Automated assistance. Profile information you provide — name, role, company, description, interests and pitch — may be processed by an automated matching and screening service to suggest relevant people and events, and to help review startup submissions. No decision producing legal or similarly significant effects about you is made solely by automated means; a person from our team reviews any outcome that affects your participation.
07How long we keep it
- Account and profile — while your account exists.
- Messages — while your account exists; a message you send stays visible to the person who received it.
- Event participation records — up to 3 years after the event, so we can report on it and answer questions about attendance.
- Business contact records — while the relationship is active, and up to 3 years after the last meaningful contact.
- Technical and API logs — up to 14 days.
- Records we must keep by law, such as accounting — for the period the law requires.
08Your rights
If you are in the EEA or the UK, you have the right to access your data, correct it, delete it, restrict or object to its processing, receive it in a portable format, and withdraw consent at any time without affecting what was done before. You may also complain to your national data protection authority.
How to exercise them. Write to us at the address at the foot of this page. We answer within one month.
Deleting your account yourself. In the app: Settings → Edit profile → Delete Account. This removes your account and profile. Some records are retained where we must keep them — for example event attendance we have already reported on, or accounting records — and messages you have already sent remain visible to their recipients.
Notifications and e-mails. Push notifications can be turned off in your device settings. Newsletters can be unsubscribed from in any message we send.
09Children
The app is for people aged 16 and over. We do not knowingly collect data from anyone younger. If you believe a child has given us their data, write to us and we will delete it.
10Security
Data is transmitted over encrypted connections and stored on access-controlled servers. Access inside our team is limited to the people who need it for their work. Sign-in uses one-time codes rather than passwords, so there is no password of yours for anyone to steal from us. No system is perfectly secure, but we take these measures seriously and review them as the service changes.
11Changes to this policy
If we change this policy we will update the date at the top and — where the change is significant — tell you in the app or by e-mail before it takes effect.
